1. Name
The group shall be known as Hucknall Harriers Running Group or abbreviated to Hucknall Harriers.
2. Aims and Objectives
To provide inclusive, informal, and friendly running opportunities in and around Hucknall for adults of all abilities.
To promote physical and mental wellbeing through running and social connection.
To operate in a safe, supportive, and welcoming environment.
To remain accessible and flexible, with minimal barriers to participation.
3. Membership
Membership is open to anyone aged 18 and over who supports the aims of the group.
Under-18s are not permitted to take part in Hucknall Harriers group-organised runs or events.
Members must agree to abide by the group’s Code of Conduct.
The group does not tolerate discrimination based on age, disability, gender, race, religion, or sexual orientation.
The primary means of communication for the group is the Hucknall Harriers Facebook group. All run events, social activities, and updates will be posted there. Members are encouraged to join this group to stay informed.
4. Leadership and Management
The group is managed by the group founder and Chair, Daniel Nightingale.
A Treasurer role has been established and is currently held by Tony Buzzard-Nall, with responsibility for overseeing the group’s finances and ensuring transparency and good financial practice.
The committee structure will be kept to the minimum required to meet ARC affiliation and governance requirements. This is a deliberate choice that reflects the ethos of Hucknall Harriers: to avoid concentrating responsibility within a small, restricted committee and instead encourage shared ownership of the group by its members.
While formal committee roles exist to meet governance, safeguarding, and financial requirements, Hucknall Harriers operates as a collective. Members are encouraged and empowered to take an active role in leading runs, supporting events, and contributing to the running and development of the group. Responsibility for the success and culture of the group is shared across the membership, rather than delegated solely to committee positions.
Additional roles may be appointed where there is a clear operational or governance need. Wherever possible, decisions will be made collaboratively with volunteers, maintaining the group’s informal, inclusive ethos while meeting affiliation obligations.
For the purposes of decision-making relating to run leader training and other matters affecting the safe and sustainable operation of Hucknall Harriers Running Group, the Club Leadership Group refers to those members who regularly lead or host group runs and actively contribute to the ongoing operation of the group.
The Club Leadership Group is not a fixed committee and does not require formal appointment. Its composition may change over time to reflect active contribution.
An Annual General Meeting (AGM) will be held once per financial year (starting April 2026) to meet the requirements of ARC affiliation and to ensure transparency, accountability, and member oversight.
The purpose of the AGM is to:
Provide an overview of the group’s activities, achievements, and finances
Share plans and priorities for the year ahead
Offer members the opportunity to provide feedback or raise suggestions
To reflect the inclusive nature of the group, the AGM will be held online. A written summary report will be published, and members will be invited to participate through a structured feedback and polling process. This approach ensures accessibility for all members, including those unable to attend a live meeting or those who may feel uncomfortable speaking in a group setting.
Following completion of the AGM process, a post-AGM update will be published to members summarising outcomes, decisions, and any actions arising.
The role of Chair, held by the group founder, will not be subject to change unless a majority of members indicate through the AGM process that they wish the role to be put to a vote. This approach provides continuity and stability while ensuring accountability to the membership.
Similarly, the role of Treasurer, currently held by Tony Buzzard-Nall, will not be subject to change unless a majority of members express a desire to put the role to a vote following the AGM process. Should a majority vote in favour, members will be invited to apply for the Treasurer role, and a subsequent vote will be held to appoint the Treasurer.
This process ensures that key governance roles remain accountable to the membership while supporting the long-term stability and values of the group.
6. Safeguarding
The group is committed to providing a safe environment for all adult members.
Under-18s are not permitted on group runs, avoiding the need for child safeguarding protocols.
7. Health & Safety
Members are encouraged to run within their limits and take personal responsibility for their wellbeing.
The group promotes safe running practices, including appropriate clothing, hydration, and awareness of weather conditions.
Procedures will be in place for reporting injuries or incidents during group runs.
5. Finances
Hucknall Harriers is a not-for-profit community running group funded entirely by voluntary donations. We do not charge membership fees, in order to keep the group inclusive and accessible to all, regardless of financial circumstances.
All donations are used solely for the benefit of the group, including affiliation fees, insurance, run leader training, and other costs that help support the safe and effective running of the group.
The group’s finances are overseen by the Treasurer, currently Tony Buzzard-Nall, with appropriate support from the Chair and designated volunteers where required. Financial management will be carried out transparently, and a basic annual financial summary will be made available to members as part of the AGM process.
Hucknall Harriers merchandise prices include a small additional charge (around 10%) to cover costs such as: delivery costs, stock management, design, samples, and any extra supplier fees, including extra charges for ordering single sizes.
8. Data Protection
The group complies with relevant data protection laws when handling personal data.
Members will be informed about data collection and use.
Personal data will be stored securely and only used for group purposes.
9. Dissolution
In the event of dissolution, any remaining funds will be donated to a local charity or running-related cause, at the discretion of the group chair.
10. Photos and Media
Hucknall Harriers Running Group regularly takes photos and videos on or before runs and at events to celebrate the group and share on social media, the Facebook group, and the website.
Members’ images may be used for promotional purposes, but the group respects each individual’s right to privacy.
Members who do not wish to be included in photos or videos can notify the Group Lead or run leaders at any time.
The group will make reasonable efforts to exclude those who opt out from photos and media shared publicly.
No member will face discrimination or negative treatment for choosing not to be included in photos or videos.
11. Amendments
This constitution may be amended at any time by the group chair to reflect changes in the group’s operation or ARC requirements.
